About the PES

The Party of European Socialists (PES) brings together the Socialist, Social Democratic and Labour Parties. The PES is our common platform, where our members come together: activists, party executives, Secretary Generals, Leaders, youth organisations, MPs, MEPs, European Commissioners, Ministers and Prime-Ministers of socialist, social-democratic, labour and democratic parties and organisations within Europe. We also exchange best practices and engage in political campaigning. Our main aim is to support our member parties and organisations. The PES acts as an important network organisation for our member parties by providing policy advice, assistance and organisation of EU-related events.

Your Mission

The PES is seeking a highly dynamic and sociable professional to join its Secretariat as a Receptionist & Events Assistant, covering a 1-year maternity and parental leave. This pivotal role combines front-desk responsibilities with events support, ensuring the smooth daily operation of our office and the successful delivery of meetings and events. As the first point of contact for many stakeholders, the successful candidate will play an important role in upholding and projecting the public image of the PES. We are looking for someone who brings energy, professionalism, and strong communication skills to help support our external and internal engagements.

Key Responsibilities

Reception & Visitor Management

  • Welcoming and following up with visitors (greeting, directing, announcing appropriately)
  • Respecting security procedures and controlling access
  • Screening incoming calls and emails; taking messages or responding as appropriate
  • Receiving and sorting daily mail, deliveries, and couriers
  • Maintaining a clean and safe reception area in compliance with rules and procedures
  • Meeting room booking and updating calendars
  • Organizing HQ meeting room setups, including logistical preparation (timely deliveries of catering...).

Office & Administrative Support

  • Performing general clerical duties such as filing, photocopying, collating, and scanning
  • Distributing internal communications, including mail, newspapers, and newsletters
  • Executing internal changes and updating extension lists
  • Managing office supplies, PES materials, parking spaces, and coordinating yearly stock cleaning
  • Supporting finance-related communication tasks
  • Contributing to additional duties as assigned

What We Are Looking For

  • You have a minimum of 3 years of work experience in a similar position
  • You have excellent command of English and good knowledge of French (both written and verbal)
  • You possess good verbal and telephone communication skills
  • You are friendly, client-oriented, and professional in your approach
  • You have a flexible attitude and demonstrate a service-minded, proactive approach to problem-solving
  • You can organize, multitask, and prioritize effectively
  • You are able to work independently and meet short deadlines
  • You have a good command of office IT tools and applications
  • You show a strong commitment to the core values of the PES
  • You have the ability to be resourceful and handle unforeseen situations with composure
