What you’ll do

Wikimedia Europe is looking for a Finance and Administration Officer who will support us in  ensuring financial health and efficiency of our organisation. As Finance and Administration Officer collaborating closely with the Executive Director, you’ll take the lead on keeping our financial systems running smoothly and support our team with essential admin and operations. In a small, mission-driven nonprofit, you’ll play a key role in helping us work effectively and sustainably.

Your Key Responsibilities

  • Manage our annual budget, keep track of spending, and suggest efficiency improvements.
  • Track and allocate expenses across funding sources, optimizing cost center use and working closely with the fundraiser.
  • Handle payment requests and invoices, keep records up to date and organized, and collaborate with our accountant. 
  • Maintain clear, reliable systems for financial tracking and adapt them as we grow.
  • Support the preparation of financial reports and audits.
  • Assist with project budgets, donor reporting, and funding proposals.
  • Handle contracts, suppliers, and general administrative tasks.
  • Support logistics of the team and smooth day-to-day operations.

What are your key skills and talents

  • You have solid finance and operations experience, ideally in a purpose-driven setting.
  • You understand the key administrative and financial frameworks governing organisations in Belgium.
  • You care about the financial health of an organization, and see finance as more than bookkeeping – you understand how smart use of resources supports long-term impact.
  • You bring care, attention to detail, and reliability to financial management, building checks and systems that ensure accuracy and support team trust.
  • You’re confident working with numbers, spreadsheets, and financial data management systems, and like owning your area of work.
  • You’re proactive in spotting when tools or methods need improvement and suggest better solutions.
  • You’re practical, collaborative, and ready to get involved in a variety of tasks.
  • You can comfortably communicate in French or Dutch, and speak English fluently, our working language.

What we offer

  • You’ll have a ½ FTE contract with an annual salary between €27,000 and €32,000, depending on your experience, plus a benefits package that can include dependents.
  • You’ll take ownership of finance and admin tasks, with support from our external accountant and leadership team.
