Hours: Regular (09:00–18:00). Occasional flexibility may be required depending on internal activities or recruitment needs, for which time off in lieu will be granted.
Purpose
We are looking for an Office Manager who will play a central role in the smooth day-to-day running of the office while supporting key HR processes and internal communication.
As the ideal candidate, you will ensure an efficient, well-organised office environment, act as a trusted point of contact for employees on administrative and HR-related matters, and contribute actively to building a positive employee experience.
Alongside office management responsibilities, you will dedicate part of your time to HR operational support (onboarding, offboarding, recruitment, payroll-related coordination) and be fully responsible for internal communication, including the creation and weekly publication of an internal newsletter.
You will work closely with the HR, managers, and teams across the organisation, contributing to a professional, collaborative, and engaging workplace culture.
Main tasks and responsibilities will include:
Office Management
- Ensure the smooth day-to-day running of the office and act as the main point of contact for office-related matters
- Coordinate office suppliers, facilities, equipment, and general services
- Manage office orders, administrative follow-up, and basic budget tracking
- Support the organisation of internal meetings, events, and team activities
- Maintain a welcoming, well-organised, and efficient office environment
HR Support & Operations
- Coordinate onboarding and offboarding processes from A to Z
- Prepare and follow up HR administration related to new hires, departures, and internal moves
- Provide payroll-related support, including data collection and liaison with the Mediahuis payroll department
- Schedule interviews and manage recruitment logistics
- Pre-select candidates and support hiring managers, particularly for junior and entry-level roles
- Organise recruitment processes from A to Z for junior profiles
- Maintain and update HR documentation and employee records
- Serve as a first point of contact for employees on HR administrative topics
Internal Communication
- Create, manage, and publish a weekly internal newsletter
- Collect content and updates from different teams and structure them in a clear and engaging way
- Ensure consistent, transparent internal communication across the organisation
- Support communication around HR processes, internal initiatives, and company events
- Proactively suggest improvements to internal communication tools and practices
Management Support
- Provide support to the management team, assisting the leadership team to ensure smooth and efficient operations
- Contribute to a collaborative working environment by proactively assisting team members and addressing operational needs
Job requirements / profile
We know this is a wish list and you are unlikely to fulfil all criteria perfectly. What you lack in experience in one area, you may compensate through strong organisational skills, motivation, and a willingness to learn. As long as you are structured, people-oriented, and excited about this role, we want to hear from you.
That being said, this is our wish list:
- Minimum 2 years of experience in Office Management, HR administration, or a similar support role
- Strong organisational skills and ability to manage multiple priorities independently
- Interest in HR operations and employee experience
- Ability to communicate clearly, concisely, and professionally
- Team player who builds positive relationships across all levels of the organisation
- High level of discretion and respect for confidentiality
- Digital literacy, with strong proficiency in MS Office (Outlook, Word, Excel, Teams); experience with HR tools is a plus
- An excellent level of written and spoken English, French and/or Dutch is a strong asset
