The European Federation of Agencies and Regions for Energy and the Environment (FEDARENE) is a leading European network of regions and energy agencies. We facilitate the development of interregional partnerships and projects, promote the regional dimension in debates on sustainable energy and the environment, and help regions develop their capacity to take action for the energy and climate transition. We offer a position within a well-established European association (35+ years), representing members from 25 European countries and active in one of the most strategic areas of current European politics.
Your Main Missions
The office administrator will join FEDARENE’s young and growing team (currently 15 full-time employees), located in central Brussels (near Place Fernand Cocq and the EU district) to carry out the following missions (non-exhaustive list).
Main duties
- Administrative support to FEDARENE’s Director and Deputy in general management tasks
- Support and enhance administrative processes throughout the organisation’s activities (e.g. invoice processing, interaction with accountants, archive management etc.)
- Support interaction with staff, members of the federation, service providers and ad hoc requests
- Administrative and logistical support to the roll-out of FEDARENE services to its members by the Brussels office
- General support to the management of the Brussels office premises (e.g.first point of contact of the office, liaison with service providers, support to address issues related to working conditions, management of inventory of equipment & supplies…)
- Supports the Director and Deputy in fostering a positive working environment based on constructive dialogue, anticipation and mitigation of conflict
Minimum Requirements
Brussels based (commuting can be considered)
Proficiency in the use of the Office suite (specifically Excel)
Fluency in spoken and written English and French
Excellent communication skills – both written and verbal
Vocational qualification in administration/HR (Bachelor’s Degree or equivalent in experience)
Experience in administration (ideally in a similar association)
Competencies required
Excellent interpersonal and networking skills
Ability to efficiently communicate with project partners, members, stakeholders, institutional partners,
services providers and FEDARENE management.
Self-motivated, engaging attitude with a keen attention to detail.
The ability to work both independently and as a team player.
The capacity to multi-task in a busy and pressurised working environment, flexibility & adaptability
High quality planning, organisation, and time management skills.
Capacity to propose new/enhanced operation, administration & office management processes in
FEDARENE with concrete implementation pathways
People management skills including mentoring, motivating, monitoring and enhancing performance
Comfortable working with different IT and web management tools, and willing to learn more tools
Our offer
Full-time employment in our loft-type offices in Brussels, Belgium (near Place Fernand Cocq)
An initial contract of 12 months under Belgian law, which can be transformed into an open-ended employment contract
Teleworking is possible but you must come to the office 4 days a week. Full remote working is not possible

Salary range for this position, depending on experience and skills : 41 000 – 46 000 EUR gross per annum
