Profile
The Executive / Finance Officer is responsible for the overall daily administrative operations, budget administration and accountancy of ECSA and, in addition, carries out a wide range of tasks related to membership services and office management. The Executive / Finance Officer works under the direction of the Secretary General and is responsible for overseeing ECSA’s budget, including the financial and administrative aspects of ECSA’s Creative Europe-funded projects and office management.
The position may be carried out on full or part-time basis (0.6-0.8 FTE, 3-4 days/week), with responsibilities and priorities adjusted according to the agreed working schedule.
Main responsibilities
Financial management

Maintain ECSA’s financial records, including income, expenditure, supporting documentation and administrative accounts;

Manage the financial aspects of ECSA’s activities and EU-funded projects, including budget preparation, monitoring and reporting;
-
Collaborate closely with the ECSA team on the financial and administrative implementation of activities;

Liaise with external accountants, bank and other service providers;
-
Prepare financial updates, annual accounts and budget reports for the Secretary General, Board and General Assembly.
EU-funded projects and grants
-
Coordinate the administrative and financial management of ECSA’s EU-funded projects;

Prepare supporting documentation for grant applications, amendments and reporting obligations;
-
Liaise with ECSA’s European Commission’s Project Officer, project partners and other relevant stakeholders regarding financial and administrative matters;
-
Maintain project information and reporting obligations on the Creative Europe Participant Portal and other relevant systems.
Governance and membership

Support communication and relations with ECSA members and member organisations;

Prepare agendas, minutes, reports and supporting documentation for Board meetings, ECSA Sessions, General Assemblies and ECF Committee meetings;

Coordinate follow-up actions arising from governance meetings and decisions.
Administration, HR and office management
-
Coordinate office administration and maintain organisational records and procedures;

Support HR administration and staff-related processes, including employment contracts, annual leave and compensation day tracking, payroll coordination, onboarding procedures and liaison with external HR providers, under the supervision of the Secretary General;

Provide general operational and administrative support to the Secretary General and the ECSA team.
Event coordination

Coordinate the planning and logistics of ECSA events including the General Assemblies (ECSA Sessions), held twice a year;

Coordinate the ECCO (European Contemporary Composers Orchestra) concert project;

Support the logistics and organisation of other ECSA events (logistical arrangements, budgeting, related administrative and financial documentation);
-
Coordinate ECSA’s Mentorship Programme for Female and Non-Binary Composers.
Other duties
-
Carry out any other tasks reasonably assigned by the Secretary General within the scope of the position.
Profile
-
Background in finance, management, HR, cultural management and/or related fields;
-
Minimum 1 year of work experience (including traineeships), preferably an international non-profit membership-based organisation;

Fluency (at least C1) in English, both written and verbal; at least a basic understanding of either French or Dutch (at least A2);
-
Excellent computer skills and knowledge of the Microsoft Office package (notably Microsoft Excel);
-
Very good drafting skills;
-
Very good organisational skills and attention to detail.
Desirable:

Experience in managing EU-funded programmes and grants;

Experience in managing budgets;
-
Experience in organising events;
-
Experience in working in a small and dynamic team;
-
Interest in music, culture and willingness to travel occasionally (1-2 times per year).
Conditions and benefits

Salary range €2,200 – €2,600 gross/month (for a full-time position, depending on experience)

Additional benefits including €170/month teleworking allowance, meal vouchers, €55 reimbursement of local public transport subscription, 13th-month salary;
