ECG, the Association of European Vehicle Logistics, is a leading non-profit organization representing the interests of the European vehicle logistics sector. Since 1997, ECG represents over 200 member companies and partners, ECG advocates for the interests of businesses ranging from family-owned SMEs to multinational corporations. As the major champion of the European vehicle logistics sector, ECG engages at the EU level across all transport modes—road, rail, maritime, and fluvial.
Our members deliver comprehensive transport, distribution, storage, preparation, and post-production services to manufacturers, importers, car rental companies, and vehicle leasing operators throughout the EU and beyond, including Norway, Switzerland, the United Kingdom, and Turkey. The association’s members operate an extensive fleet, including over 470 car-carrying ships, 14,000 purpose-built railway wagons, 23 river barges, and more than 26,000 road transporters.
We are seeking an Administration Officer to join our dynamic team, supporting critical operations, ensuring smooth office management and contributing to our mission of strengthening collaboration in the Finished Vehicle Logistics sector.
Key Responsibilities
- Accounting and invoicing: Manage invoices, credit notes, receivables, VAT accounts, and maintain accurate financial records.
- Office Management: Oversee and manage office supplies, equipment, and inventories and ensure the smooth running of the office environment (including communication with suppliers and maintenance services)
- Travel Arrangements: Coordinate travel logistics, including flight bookings, hotel reservations, and staff itineraries.
- Event Support: Assist in organizing and supporting logistical aspects of events, meetings, and training programs like the ECG Academy.
- Membership Relations: Act as the first point of contact for members, partners, and sponsorship inquiries, including handling new membership applications.
- CRM Oversight: Maintain and update the ECG CRM database for accurate record-keeping and user management.
- Website and Social Media: Manage website content and post updates, and actively draft and schedule content for platforms like LinkedIn.
- Reporting and Communication: Prepare and analyze communication KPIs, and publish internal and external updates like ECG News and the President’s Report.
Qualifications and Skills
- Experience in administrative roles would be a strong asset
- Proficiency in CRM systems, website management platforms, and MS Office Suite
- Fluency in English is required; additional European languages like French is a plus
- Strong written and verbal communication skills, with a keen eye for detail and ability to maintain confidentiality
- Excellent multitasking and time management abilities
- Ability to work collaboratively in a team-oriented environment
