The Council of Bars and Law Societies of Europe (CCBE) represents the Bars and Law Societies of 46 countries and, through them, more than 1 million European lawyers. As a representative body, the CCBE plays a vital role in defending the rule of law, human rights, and access to justice.
We are looking for a proactive, hands-on and well-organised Office Assistant to join our team in Brussels. You will play a key role in keeping things running smoothly – supporting leadership, coordinating events and assisting with day-o-day office operations. This is an excellent opportunity for an administrative professional who enjoys working in a small, international environment bringing positive energy to everything you do.
Reporting to the Operations Manager, you will work closely with the Secretary-General and Presidency to support governance activities, office logistics and internal systems.
Main responsibilities
1. Secretariat & administrative support
Assist the Secretary-General and Presidency with scheduling, travel arrangements and meeting preparation.
Format and circulate correspondence.
Maintain membership records, mailing lists, and contact databases.
Handle incoming calls, manage general correspondence, and welcome guests.
2. Meeting & event coordination
Help organise internal and external meetings, including high-profile events.
Manage logistics: invitations, registrations, catering, AV setup, room preparation, and follow-up materials.
Gather documentation and assist with agenda updates and related materials.
3. Financial and office support
Collect invoices and receipts and assist with basic bookkeeping.
Manage office supplies and stationery.
Ensure meeting rooms and office spaces are tidy and ready for use.
Coordinate repairs and upkeep of office furniture, equipment and facilities.
4. IT & digital support
Provide first-line assistance with basic IT issues.
Liaise with the external IT provider to ensure smooth functioning of internal systems.

Qualifications & experience
At least 2-3 years of relevant professional experience in a secretarial or administrative role (experience in an international or EU-focused setting is an asset).
Proficiency in French and English (written and spoken); knowledge of other European languages is an advantage.
Strong IT skills, particularly with Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint).
Demonstrated professionalism, discretion and reliability in supporting senior staff.
