EuropeanIssuers is the only pan-European organisation representing the interests of publicly quoted companies across Europe to the EU Institutions. Our members include both national associations and companies from all sectors in 14 European countries, covering markets worth € 7.6 trillion market capitalisation with approximately 8000 companies.

What are we looking for?

We are a small team of young motivated professionals looking to add to our team, an Office and Membership Manager. The position is in our Brussels office and reports to the Secretary General.

Main tasks

Membership

  • Support actions of membership recruitment and retention campaigns (brochures, promotion, calls and emailing’s)
  • Monitor and report progress, maintain research registers of engagement with members and targets and make recommendations
  • Manage information flows with members and respond to queries

Administration and Governance

  • Support overall coordination and organisation of meetings for the Board of Directors and the General Assembly including:
    • scheduling meetings; arranging guest speakers; preparing agendas; decisions & actions; board summaries and minutes; correspondence with Board members; elections;
    • circulate agenda, draft and circulate minutes
    • meeting invitations, reminders, coordination of dates
    • coordination of rooms, IT, conference call details, circulation of documents
    • Point person for the Secretary General calendar: Oversees, advises upon and manages the calendar activities including meetings and visits
    • Builds and maintains network of relationships with business executives and EU officials
  • Monitor and order office supplies and liaise with IT when needed
  • As all other staff members, share some administrative tasks such as updating the contacts database and handling correspondence

HR

  • Handle HR administration of payrolls: registering sickness and holidays, liaising with external providers (social secretariat, insurance broker) re extra-legal benefits package (meal vouchers, group insurance, hospitalisation insurance, etc) and Belgian Employment regulation (internal labour regulation)

Accounting

  • Follow up of purchase invoices and expenses notes, sales invoice, prepare payments, bank statements
  • Upload invoices on basecone (accounting online platform)
  • Manage the budget for petty cash, credit cards, expenses reports.
  • Responsible of some administrative tasks such as updating the contacts database and handling correspondence

  • Support Budget preparation, prepare membership invoices and Issue bad debt reminders
  • Organize the communication and transfer of documents to the accountant and auditor

 

Qualifications/Skills/Experience required:

  • Strong organisational skills with an excellent attention to detail and adherence to deadlines;
  • Ability to work well at all levels within a small and dynamic international team;
  • Diplomatic and discreet, proactive, innovative, independent and flexible with working hours in order to support events and briefings;
  • Preferably good EU policy knowledge and current affairs;
  • High-level of computer, event, admin and communications skills, verbal and written
  • Dynamic, self-motivated and innovative, multi-tasking professional with a can-do attitude.

Profile:

  • Degree or experience in Secretariat, Communication or Marketing
  • Excellent computer literacy (Word, Excel, Microsoft Outlook, PowerPoint)
  • Language skills: English, other languages are a definite plus
