Europlan, is looking for a dedicated and flexible Office Administrator to support daily operations and accounting matters at our representative office in Brussels.

Europlan is a small consultancy that focuses on European projects in the areas of digitalisation, regional development, circular economy and sustainability, with representative offices in the UK, Belgium and the Nordics. Our operations are driven by a diverse and geographically dispersed team of experts across Europe.

To support our administration, office management and accounting needs we are looking for a highly organised and motivated person to help run daily operations at our Brussels premises. You will be working in close contact with the Director of Europlan, our UK based accountant and in cooperation with other team members across Europe. You will be based at our representative office located in Clos Saint Georges B 1150(with possibility to tele-work), where our experts and your future colleagues are present variably.

We offer 15-30 working hours per month (with 4h per week fixed), on a freelance basis. Optimally you should be registered as an independent or ready to inscribe yourself as such, upon commencing the post.

Job Role:

  • Organize office operations and procedures
  • Document processing: Handling all incoming invoices, Bank correspondence and supplier requests, in a timely and reliable manner.
  • Simple tracking and processing of employee salaries, to be communicated to our Accountant  
  • Correspondence management: Handling of queries
  • Processing missions/travels
  • Ad hoc administrative tasks
  • Upkeep of filing and content management system
  • Liaising with team members
  • Supporting reporting needs in European Projects, when needed

Experience & Competences

  • Previous experience in Administration, organisation and operations
  • Financial background and/or knowledge of accountancy - including payroll, VAT rules etc. (optimally with knowledge of UK systems).
  • Commitment to detail
  • Good Planning & Organising skills
  • Excellent command of English (oral and written) – essential
  • Command of operational French, is an asset
  • Knowledge of EU project reporting- advantageous
  • Experience in dealing with suppliers – desirable
  • Affinity to work with basic numerical, accountancy tasks

The Ideal person:

  • Is able, and enjoys, performing regular tasks independently with minimal supervision, as well as cooperatively on larger tasks.
  • Arranges work in a methodical way, to achieve monthly objectives.
  • The role would best suite an individual looking to complement their current commitments/part time work (or early retirement) with an additional engagement at Europlan. 

Required Conditions

  • Registered as self employed (or ready to register extra income source upon commencing the position)
  • Applicants must be based/residing in Brussels (optimally with good access to Val Duchesse area)

Starting date: As soon as possible
