The Partnership for Advanced Computing in Europe (PRACE) is established as an international not-for-profit association with its seat in Brussels. It brings together 25 member countries and their representative organisations, who join efforts in creating a sustainable and forward-looking high performance computing (HPC) environment in Europe. The organisation aims to enable high-impact scientific discovery and engineering research and development across disciplines and sectors, and provide support to businesses and researchers in the field.

We are looking for a project officer to be responsible for handling our EC-funded Horizon 2020 projects. You will be working closely with our team members to ensure that all project requirements, deadlines, and schedules are on track. Responsibilities include submitting project deliverables, preparing status reports, and financial reporting.

To be a successful candidate, you will need to have proven experience in project management and the ability to lead project teams of various sizes.

Main Duties and Responsibilities

  • Ensure the activities of the Project Management Office (call for meetings, setting the agenda, following up actions and drafting minutes)
  • Coordination, preparation and release of the project deliverables and track progress towards milestones in line with the project´s work plan ensuring the timely accomplishment of work outputs and according to the project quality management process
  • Support the project management boards – typically Management Board and Technical Board (organise and follow up the meetings in coordination with the corresponding board chair) and the Operations Director
  • Follow up the preparation, approval (and if applicable signature) of contractual documentation
  • Ensure communication interface with the funding agency (typically the European Commission) Project Officer including the organisation and preparation of review meetings
  • Preparation and submission of periodic and final reports in the EC Portal
  • Ensure organised filing and archiving of documents and information
  • Administration of mailing lists linked to projects
  • Regularly monitor expenditures ensuring that budget allocations are not exceeded
  • Preparation of the project financial reporting
  • Follow-up the EU payments and, when applicable, distribution of funds in between the project partners
  • Support and control the projects contribution in the annual accounts
  • Carry out other clerical and logistical tasks that may arise or are needed to properly execute the tasks above
  • Carry out other communications tasks that may arise or are needed to properly execute the tasks above
  • Some travel may be required

Skills and Education Required

  • Bachelor degree preferably in the fields of computer or natural science or engineering 
  • Proven working experience as a project manager in European Framework Programmes, e.g. Horizon 2020
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multi-tasking skills
  • Strong working knowledge of Microsoft Office
  • Proficient level of English
  • Working knowledge of languages such as German, French, Dutch, Spanish, Italian and/or others is a plus
  • PMP / PRINCE II certification is a plus
