At the European Copper Institute, we are currently looking for a reliable and accountable assistant, willing to provide effective support right from the start to our Material Stewardship EU team and program.

The role involves administrative and communication tasks, advocacy and project related work which requires a good understanding of the team’s responsibilities and development of related processes, in particular EU legislative processes (e.g. REACH). The role is expected to adapt and efficiently respond to the evolving needs of the Material Stewardship program in a changing international association.

The Regulatory Affairs assistant must be a self-starter capable of operating independently. The position in fact provides for a large degree of autonomy under general guidelines and working relationships with members, the Material Stewardship EU Director, and the Material Stewardship Global Director.

About ICA, ECI and its Material Stewardship Program

The International Copper Association (ICA) is a non-profit organization that brings together the copper industry, and its partners, to make a positive contribution to the UN Sustainable Development Goals, and to support markets for copper. The Association was established in 1989 and is headquartered in Washington DC with regional offices in Brussels (i.e. the European Copper Institute, ECI) and Beijing/Shanghai and a number of affiliated national copper centres, collectively branded as Copper Alliance™.

The Regulatory Affairs assistant reports directly to the Material Stewardship and Strategic advocacy Director, Europe. He/She works in close cooperation with other staff of the Material Stewardship Team around the world, member companies, the ICA Material Stewardship Council and other ICA/ECI employees. The Material Stewardship Program has two overarching objectives: 1) ensure continued access to markets, and 2) position copper as a sustainable, responsibly sourced metal.

Role and Responsibilities

Organisational and program support

  • Prepare meetings and minutes: organise dates and venues, manage invitations and attendance lists, ensure pre-readings, supporting documents and slides are duly available, handle logistics when needed; take notes, prepare draft minutes and revise final versions.
  • Update the team shared agendas and ensure availability for staff and coordination of meetings and calls, also with the other teams.
  • Order the archives and keep them updated, to facilitate access to all documents.
  • Order and manage the members database (eg on REACH), welcome members to any meetings and ensure they receive all relevant information and documents in due time.
  • Support the director and the REACH manager in ensuring all administrative tasks related to the Reach Copper Consortium are efficiently executed (monitoring of budget and actual expenses, SIEF and LoA correspondence).
  • Analyse and manage technical and scientific information and data to support the development of effective strategic advocacy and the management of projects.
  • Follow-up the project management cycles and support the team in the execution of their various phases, when required.
  • Support the director in assessing the priorities and contribute to manage moderate priority issues in the material stewardship department agenda.
  • Manage ad hoc projects and tasks that can be adjusted according to your interests and profile.
  • Develop autonomy and keep attention to the team performance, striving to improve it.

Communication support

  • Facilitate the internal communication flow within the team and with the other teams in the Brussels office.
  • Contribute to the development and implementation of effective internal communication tools for the program and to maintain a shared communication style, ensuring the reception and understanding of information and data relevant to common processes and of shared interest.
  • Draft and, when required, revise communication materials (e.g. position papers, technical and scientific documents, REACH Consortium newsletter).
  • Support the team in adapting technical and scientific information to make it accessible and of impact to broader audiences.

Technical capability and experience

  • University degree, at least BA or BSc level, in relevant disciplines.
  • Specific training(s) / learning experience(s) in communication and/or management are an asset.
  • A minimum of 3-year experience in a similar role, within a (multidisciplinary) team of professionals, preferably in an EU (industry) association environment.
  • Proven experience in dealing with different files at the same time, including administrative tasks, and in managing confidential information and technical data.
  • Valuable and demonstrable experience in preparing minutes, summary notes, letters, mails and technical report summaries.
  • Previous experience in advocacy and regulatory activities (set up, support and management) is desirable.
  • Good organizational skills, with proven ability to handle and accomplish multiple tasks.
  • Excellent (mother-tongue level) English written and verbal communication skills; fluency in other EU languages is an asset.
  • IT proficient using the Microsoft Office Suite (Excel and PowerPoint required), et al.
  • Affinity to, and growing interest in learning about, technical, scientific and regulatory aspects of relevance to the sector.
  • Experience with EU association and positioning process within an EU association in the Brussels’ arena is desirable.
