The GIZ Branch Office in Brussels has currently approx. 50 staff, the majority of whom is working in the acquisition and implementation of EC funded projects.

We are currently looking for a Secretary / Administrative Assistant (m/f) to start as soon as possible. GIZ offers a Belgian employment contract.

The selected candidate will provide administrative assistance and secretarial support to the GIZ Branch Office Brussels.

This will include, inter alia,

In the area of secretarial support to ongoing projects (50%):

  • Handling of travel arrangements (and related mission expense reports) and its correspondence
  • Preparation and documentation of team meetings
  • Document filing according to GIZ standards
  • Support in layout of experts’ outputs
  • Minor translation or correction work of texts
  • Verifying compliance of supporting documentation prior to processing of invoices and timesheets
  • Other administrative and secretarial tasks

In the area of administrative assistance to business development (50%):

  • Preparing and formatting project references
  • Formatting CVs of our Key Experts
  • Filing of project references
  • Preparation of Letter of Interest (LoI)
  • Preparation of administrative offers for our tenders submitted to the EU or other donors
  • Production of our technical, financial and administrative proposals
  • Support in knowledge management and data-entry in databases

Requirements:

Work permit for Belgium, as the location of the work will be Brussels.

Qualifications:

  • Completed secondary school.
  • Degree in secretary management or comparable secretarial/administrative assistant experience.

Languages: Fluent English (ability to read, write and understand complex documents).

Knowledge of French and/or German and/or Spanish will be considered as assets.

Other competences:     

  • Full IT proficiency (all current MS Office applications, internet).
  • Able to work precisely under high time pressure and workload.

Service-oriented attitude, excellent communication skills, keen on working in a team.
