The Office seeks a motivated and self-motivated Sales & Marketing Coordinator for its Event spaces in the heart of the European Quarter.

The job entails:

  • Selling and coordinating of event spaces at The Office.
  • Handling customer enquiries in a reactive and positive manner.
  • Being the point-of-contact for all events.
  • Overseeing the collective coordination of all event information and resources, and the responsibility for the account management, sales prospecting and business development.

General Responsibilities

Key activities performed by the Sales & Marketing Coordinator includes account management, business development, market research, sales prospecting, public relations, customer relationship management, event planning and coordination, logistics oversight, revenue management, and communications. Activities also include: preparing proposals for clients and maintaining well-organized event records from enquiry to invoicing. The Sales & Marketing Coordinator will build and maintain working relationships with internal and external colleagues and partners, and leverage these relationships to deliver innovative and memorable events.

Communications and Customer Relationship Management

You must have excellent customer relationship management and communication skills. You are polished and articulate, and use these skills to manage client relationships. You have previous hospitality experience and with dealing with clients from the EU Institutions and/or EU Associations. You are an active member of the hospitality and event planning industries, and pursue new market opportunities to increase event sales. You will meet with clients regularly, and often conduct tours of the event facility. You will need to provide accurate and timely information to clients, vendors, and meeting planners. You will need to continuously focus on improving customer satisfaction to create customer loyalty and deliver a positive event experience.

Event Planning

You will be responsible for all elements of event planning, including identifying event logistics and negotiating contracts with subcontracts. You will coordinate event logistics, proactively communicate event information, and set clear expectations for event delivery. You will need to work well under pressure, and need to manage multiple activities simultaneously, and re-prioritize efforts when plans change or the need arises.

You will prepare detailed event reports, including sales data worksheets, cost projections and other financial metrics. You will analyze and reconcile disparate event details, and consolidate the information into actionable event plans.

Qualifications

You must have excellent interpersonal and organisational skills, have high-energy, be creative and possess excellent customer service and sales skills.

You must be fluent in English (mother tongue level) and French. Dutch and other languages are a nice-to-have.

Individuals interested in pursuing the position of event sales manager should have at least a degree in hospitality or events, a bachelor’s degree and/or Certified Meeting Planner (CMP) certification (or equivalent). You will need to have at least one to three years of experience in organizing and managing events for the EU Institutions or EU Associations, including corporate meetings, conferences, trainings, and corporate receptions.

Salary

We offer a competitive salary package based on a fixed amount plus bonus. This will be calculated based on the successful applicant’s experience and drive which will be reviewed on a yearly basis and based on measured outcomes (objectives attained). The successful candidate will be given a PC, a smart phone, transport reimbursements, lunch voucher (or equivalent) and a bonus based on performance.
