Job Description: Events & Projects Associate
(maternity leave cover - with possibility for extension)

EPRA is currently seeking a maternity leave cover as soon as possible to join a young, dynamic and diverse team of 20 people for an initial period until end of 2019, with the possibility for extension based on compatibility. This is a full-time position, based in Brussels with some travelling in Europe and will report to the Director of Operations.

Responsibilities:

  • Overall logistical and operational coordination to ensure development, production and execution of  EPRA’s flagship event – the annual conference (September 2019)
    • Further develop the EPRA conference concept and theme under the supervision of the Director of Operations
    • Sale and implementation of sponsorship packages based on internally developed sponsorship planning and materials
    • Maintain continuous relationship with EPRA members and potential event sponsors
    • Contracting & follow-up actions with speakers and event services suppliers including: high scale AV, hotels, on site event logistics teams, marketing & branding agency, etc.
    • Coordinate event services suppliers before the event and on-site
    • Budgeting and resource management oversight
    • Ensuring smooth operations before, during and after the event through detailed planning
  • Various EPRA events oversight, planning and implementation, including workshops for different EPRA departments, corporate access events and other ad-hoc events
  • Work closely with and assist the Communications Manager in providing events related content for external materials (articles, brochures etc.) and provide graphic material as part of the sponsorship implementation
  • Create in house events and projects related copy/graphical content (mailing templates, layouts, etc.) and work with external designers when necessary (brochures, booklets, advertisements etc.)
  • Create content and update the EPRA events website pages
  • Manage the EPRA Outstanding Contribution for Society Award Competition, an industry-wide initiative aimed at promoting EPRA members’ projects that highlight their beneficial impact on society
  • Assist the Director of Operation in initiating first steps to set up a working group which will develop towards  the EPRA Innovation & Technology Committee
  • Support the EPRA teams in the preparation and development of department specific projects as well as wherever necessary in ad-hoc EPRA initiatives

Skills and Qualifications:

  • 3-5 years of experience in events and/or marketing and/or project management
  • Sales acumen, great planning and ability to juggle with multiple tasks while keeping a focus on prioritised projects
  • Resourceful and creative with last minute challenges  while resistant to deadlines pressure
  • Extremely organised, self-starter, outgoing personality with an ability to meet deadlines and take responsibility for projects
  • Knowledge, interest and experience in working with digital tools (event management software – preferably Cvent,  digital campaign design tools – preferably Mailchimp,  graphic design tools) and with social media to promote events and projects
  • Excellent communication and writing skills
  • Native or native-equivalent English, additional European language an asset
  • Team player and collaborative
  • Experience and understanding of the real estate or financial sectors represents an asset
  • Experience in dealing with and understanding of  executive level corporate audiences is a plus
  • Authorised to work in Belgium
