Description

The European HR team is responsible for eight offices across UK, Germany, France, Belgium, Italy, Turkey, Israel and Russia and consists of two HR Business Partners (HRBPs), one Global Mobility Specialist, and an HR Director International.

The HR Assistant is responsible for all HR administration requirements across all European offices in support of the regional HR team. The job holder will be required to work fairly autonomously in a busy HR office and help the smooth running of the department throughout the Europe region. The role will report to the HRBPs. 

Responsibilities

  • Manage the HR administrative process for the 8 regional offices, creating and maintaining all necessary standard reports and administrative efficiencies
  • Manage the entire recruitment life-cycle from new starter process through to scheduling exit interviews for leavers
  • Probation monitoring and letters
  • Salary, bonus, and promotion letters
  • Manage recruitment and on-boarding administrative activities including CV management, scheduling, interviews, drafting offer letters/contracts, completing reference checks, and arranging induction meetings
  • Maintain accurate and up to date payroll and employee data spreadsheets
  • Enter data and ensure data integrity within HR information systems and other required databases
  • Support the HRBPs with accurate monthly payroll and pension information
  • Support the HRBPs with ad hoc admin tasks as required, including scheduling and research
  • Manage and maintain personnel files (paper and electronic) and keep all HR documentation up to date
  • Regional annual leave consolidation process at year end
  • Liaise with relevant benefits providers to register all staff as required and remove leavers, and respond to general benefit enquiries
  • Research employment law updates, advising HRBPs of changes to local policies as required
  • Other general administrative tasks and projects as required
  • Maintain confidentiality at all time
  • Travel to other European offices may be required from time to time

 Qualifications/Experience

  • Relevant University degree or equivalent work experience required
  • Some relevant experience in an HR department and HR administration desirable
  • Fluent written and spoken English
  • Fluent written and spoken French
  • Eligible to work in the EU
