Job Description

The University of Luxembourg is a multilingual, international research University.
 The University of Luxembourg invites applications for the following position in the Vice Rectorat for Research : A Project Assistant (M/F)
General description of the position:

The University of Luxembourg is looking for a Project Assistant to support the work plan of the mobility module of the project “Université de la Grande Région” (UGR). This large INTERREG project is supported by the EU, the regional governments and seven partner universities.

The project aims to create a close cooperation between seven universities of four different countries, to facilitate cross-border education and research.

The Project Assistant will work in close collaboration with and under the supervision of the Project Officer, the Research Coordinator and the Vice-Rector for Research.

Mission

1. Supporting the Project Officer in the execution of the project.

2. Expert committee and event organisation: Coordinating logistic and administrative aspects related to the organisation of expert committees, workshops and conferences (budget estimates, conference venue, meeting rooms, hotels, invitations, registration, documentation, social events, etc.). Preparing, formatting and disseminating meeting documents (agenda, presentations, meeting minutes).

3. Contractual management and reporting: Administering the project budget, deadlines and budget expenditure in line with the financial requirements specific to INTERREG projects. Carrying out general administrative duties required for the smooth running of the mobility module of the UGR project and supporting the work in the other modules. Working in close collaboration with the University’s internal and Luxembourg’s ministries’ administration.

4. Other duties:
 Working in close collaboration with partner universities, junior and senior academic and administrative staff. Profile University degree (to Master level or equivalent).

Minimum of 3 years of experience in the field of Higher Education and/or EU funding and/or mobility programmes.

Good understanding of cross-border education and research programmes.

Good knowledge of Microsoft Office suite and collaborative online-platforms.

Excellent written and spoken German and French and very good knowledge of English. Ability to draft routine correspondence in both languages, German and French.

Sound organisational skills, initiative and commitment and ability to multitask.

Ability to work effectively in a multicultural environment as part of a team, handling matters with tact and diplomacy.

Excellent interpersonal, communication and networking skills.

Ref: CRR-VRR-- PEU-08UNGR 2 years fixed-term contract, full-time (40hrs/week) Employee status
