Job description
Job purpose
The Programme Assistant will support the work undertaken by ClientEarth’s Litigation Department and the Programme Groups it directly supports - Climate, Energy, Clean Air and Wildlife. They will work closely with the teams and provide assistance in project management and planning.
Working relationships
The Programme Assistant will work directly under the supervision of the Strategic Climate Litigation Programme Manager and in close cooperation with a small team of Project Officers, but also with guidance and support from the individual Heads of Programme and Project Leads, as well as the administration, finance and development teams of the organisation. The post holder will have key relationships across the Climate, Energy, Clean Air and Environmental Democracy Programme Groups and more widely across other programmes and functions.
Key responsibilities
  • Assist the Department and Programme Groups team to establish, implement, and use team, project planning and organisational systems and tools; Provide general administration assistance, including booking travel, processing invoices and updating relevant internal trackers and systems;
  • Prepare meeting agendas, summaries and minutes;
  • Assist Heads of Programme in organising internal strategy and planningsessions;
  • Organise and coordinate logistics for workshops, meetings and other events (including organising seminars or similar events);
  • Edit, format and proof-read documents;
  • Assist with drafting contracts with partners, getting them executed and filing them in accordance with internal procedures;
  • Conduct factual research and prepare internal briefs or databases on various topics related to programmatic work;
  • Provide programme staff with guidance on internal policies, procedures and processes;
  • Monitor internal requests inbox and ensure prompt reply to queries;
  • Support the induction of staff and interns as required;
  • Undertake any other similar duties as required by the Strategic Climate Litigation Programme Manager, Director of Litigation, Heads of Programme or Project Leads.
Location
This post will be based in London or in Brussels. Travel to other locations where ClientEarth has an office or elsewhere in Europe may be occasionally expected in the role.
Person Specification
Education and training
  • Minimum secondary level education
Experience & knowledge
  • Experience of working in administration (essential), in a not-for-profit organisation or legal environment (desirable);
  • Good knowledge of administrative and financial processes and systems
(essential);
  • Experience responding to competing deadlines and managing multiple tasks and
priorities within a working environment (essential)
  • Understanding or knowledge of national and/or international law, litigation, courts and/or environmental justice (desirable)
  • An interest in environmental issues such as climate change, environmental regulation, energy, air quality, environmental transparency and democracy, etc. (essential)
Key competencies
  • Excellent organisational skills and efficient management of multiple and competing tasks and priorities (essential);
  • Reliable, understands necessity of meeting deadlines and works well under pressure
  • Excellent interpersonal and teamwork skills, with ability to foster positive working relationships with diverse internal and external individuals
  • Excellent writing, editing and verbal communication skills (essential);
  • Ability to think creatively in developing systems and tools for team and project
organisation
  • Advanced IT skills (MS Office, Internet, databases and teleconferencing facilities) or willingness to become an advanced user of these systems
  • Fluency in English (essential) and another European language (desirable)
