The European Society of Cardiology (ESC) is the world’s largest organization of physicians dedicated to fighting heart disease. It helps more than 90,000 healthcare professionals from 120 countries expand the boundaries of cardiovascular medicine so people can lead longer, healthier lives. The ESC publishes a dozen different scientific journals, an array of textbooks and the latest clinical practice guidelines. It provides continuing medical education through webinars and classroom courses, and hosts the summit of cardiovascular science each August - ESC Congress - which attracts more than 33,000 heart specialists and delivers over 4,500 of the latest scientific abstracts.


The European Society of Cardiology (ESC) seeks applications to fulfil the position of an Postgraduate Education Programmes Project Lead .

Background of the position

The European Society of Cardiology (ESC) represents over 90,000 cardiology professionals, principally from across Europe and the Mediterranean basin, but also from the rest of the world.

The ESC provides an array of scientific and educational activities, such as the production and continuous updating of Clinical Practice Guidelines, the organisation of educational courses and initiatives, pan-European surveys on specific disease areas.

It also organises the ESC Congress, the largest medical meeting in Europe.

Within the established ESC representative office in Brussels, European Heart Agency, the ESC has created and implemented the European Heart Academy which trains future leaders in cardiovascular medicine and offers postgraduate programmes leading to academic degrees, such as Executive Masters. The ESC is looking for a talented Postgraduate Education Programmes Project Lead within the European Heart Academy.

Job summary

  • To proactively manage the administration of the European Heart Academy postgraduate programmes
  • To develop a first class experience for all students as well as faculty involved into the lectures through the ESC
  • To provide a comprehensive information service and acting as a first point of reference for queries
  • To act as an interface between the Administrative Programme team of the University and European Heart Academy leadership
  • Co-organise the application process with University partners
  • Manage the delivery of teaching modules in the Brussels office of the ESC and in a partner’s venue
  • The position will report to the Scientific Pole Team Leader

Main responsibilities

General administration

  • To advise and provide information to prospective applicants, applicants and incoming students, as required, by email, telephone and in person
  • To keep accurate records on students progress, and contact details
  • To maintain the everyday contacts with the course coordinators at the partner institutions
  • To organise regular teleconferences, keep minutes and follow up on decisions and action points and assure that European Heart Academy duties are made in a timely fashion
  • To keep accurate records of European Heart Academy leadership availability
  • To support the organization of the Advisory boards and oversights committee meetings, prepare the agenda, minute the meetings and assure that appropriate follow-up is taken
  • To carry-out routine office tasks, travelling preparation and organisation
  • To use initiative and judgement, and to have the ability to give particular attention to detail
  • To respect allowed budget and keep records of expenses
  • To support the Team Leader in various activities

Admissions and scholarships administration

  • To administrate and manage the admissions process, monitor and update admissions system and data
  • To liaise with the relevant European Heart Academy Committees, provide ranking system and applications overview and support actively the selection of candidates
  • To oversee funding process by respecting ESC internal and partner’s deadline

Programme administration

  • To prepare the course materials for the ESC-coordinated courses content and develop the specific ESC content for each course
  • To provide the support to students including producing official documents when necessary
  • To ensure that students are informed of and understand European Heart Academy administrative procedure and deadlines required of them for their studies
  • To execute the evaluation of each course by participants and by the European Heart Academy and evaluate learning progress in each course
  • To assure excellence of content and conduct for each course
  • Interact with the relevant educational bodies within the ESC and its associations with the specific task to integrate their input to enhance excellence of each course


  • To promote the aims and the goals of the European Heart Academy during the courses
  • To propose marketing and promotional strategies within the collaboration of the ESC communication department
  • To launch, follow up and participate at the creation of promotional materials with the support of the ESC communication team: flyers, roll ups etc.
  • To help to integrate and publish the course activities within the ESC website and keep it updated
  • To develop the scientific communication about the courses on ESC website

Events and seminars

  • To develop and coordinate the sessions conducted in Brussels, as well as annual Alumni meeting for students from all European Heart Academy programmes; supported by the events team
  • When relevant, to represent European Heart Academy at in-person teaching modules taking place at partner universities and various ESC congresses and events


  • Master Degree
  • Ideally working experience within academic environment and administration of Post-graduates programmes
  • Previous experience or affinity for scientific fields is an advantage
  • Demonstrate energy and perseverance to develop world-class courses in close cooperation with leading European universities
  • Ability to be a part of the small, dedicated course management team, interact and work with international leaders in the field who will deliver lectures and develop teaching content
  • Excellent English, any additional language would be an asset
  • Excellent communication and interpersonal skills; ability to perform in multicultural environment
  • Excellent time management skills, ability to work under pressure and be flexible
  • Competent administrator, proficiency in MS Office (Word, Excel and PowerPoint)
  • The flexibility to travel is needed, about 10 %

You will interact with some of the most prestigious academic institutions in Europe and with leadership of the European Society of Cardiology, and will need a matching capacity to communicate.
