The European Society of Anaesthesiology (ESA) is the European Regional Section of the World Federation of Societies of Anaesthesiologists (WFSA) and comprises of individual and national society members. The ESA promotes the exchange of information between European anaesthesiologists and focuses on the distribution of useful and qualitative information in regard to anaesthesiology amongst its members. By encouraging education, research and scientific progress, the ESA aims to raise the standards and to improve safety and quality of patient care. ESA works to facilitate and harmonise the activities of national and international societies of anaesthesiologists in Europe.

Furthermore, the ESA organises the European Anaesthesiology Congresses, Euroanaesthesia and the Focus Meeting on Perioperative Medicine, presenting a comprehensive scientific programme consisting of refresher course lectures, symposia and workshops, as well as the presentation and discussion of the latest research. Members and non-members from more than 80 countries from around the world attend these meetings.

Job description

  • As a first point of contact, you are responsible for screening and handling all telephone calls, correspondence, letters, emails, faxes, enquiries and requests addressed to the Executive Manager / Board President. You both handle internal as well as external requests.
  • You organize and maintain the agenda of the Executive Manager / Board President and you schedule appointments. You are responsible for the organization and preparation of (board) meetings and the General Assembly, you take notes, write minutes and you provide general assistance. Afterwards, you assure the follow up of the minutes (who, what, when).
  • You support the Council and Nominations Committee by organizing (international) meetings for committees & taskforces. You report to the Executive Manager.
  • You manage the Board and Council budget.


  • You obtained a higher degree and you have at least 5 years of relevant experience as a Personal / Management Assistant to a senior member of a management team or the board, preferably in an international context.
  • You have outstanding time management skills, you are able to multitask and to manage several projects efficiently in an autonomous way. You have an eye for detail and you are not afraid to take initiative when required.
  • Since you interact with high level management but also with suppliers and other staff on behalf of your manager or the Board, a professional attitude is indispensable. Discretion and confidentiality are values you hold high. You also possess excellent communication skills in order to interact on these different levels.
  • You have excellent MS Office skills (Word, PowerPoint, Outlook and Excel).
  • You are fluent in English (written/spoken) and have a very good knowledge of Dutch/French.
  • You are prepared to work during the weekend/evening (occasionally) when there is a Board meeting and you are willing to travel across Europe approximately 5% of the time.
  • You can cope with stress and you are able to handle changes and short deadlines.
