Job description:

Are you the energetic office manager/administrative assistant that will support us in our daily activities representing SME’s in Europe? Your range of tasks will consist mainly of organising and supporting office operations, supporting communication activities, agenda management, practical preparation of meetings and events, etc. You will also have a lot of personal contacts with our members and a variety of representatives from EU institutions and other stakeholders.

Do you like to work accurately and are you very organised? Can you easily handle the most common MS Office applications? Are you fluent in English, but also master other European languages? Are you an energetic, socially skilled person ready to work in an international environment, do you have a flexible attitude and do you like to work on an independent way in a small team? Then we look forward to welcome you in our team!

Overview of tasks:

  • Organise and support daily office operations and procedures
  • Manage and distribute mail
  • Write letters and emails
  • Manage databases and filing systems
  • Organise events and meetings
  • Develop templates, procedures, scenarios, …
  • Keep the website up to date and manage social media, in cooperation with the press officer
  • Receive, transfer and monitor requests from members, institutions and stakeholders via telephone and email
  • Contribute to the roll out of the communication strategy
  • Etc.

Essential skills and competences: In the framework of this position, the candidate must have a strong experience in the fields of administration management & events organisation, and master the following skills

  • knowledge of office administration
  • excellent interpersonal skills and team player
  • analytical, creative and problem solving abilities
  • effective verbal and written communication skills
  • attention to detail and high level of accuracy
  • very effective organisational skills
  • time management skills
  • fully IT skilled, with good knowledge of MS Office applications
  • flexibility

Start date: 1 March 2018 at the latest
