Office Coordinator

Carnegie Europe, the European policy research center of the Carnegie Endowment for International Peace, is seeking a full-time Office Coordinator to work in its Brussels office.

The Office Coordinator will be responsible for managing Carnegie Europe facilities, liaising with vendors and service providers, establishing and maintaining office files and forms including electronic files, maintaining accurate databases and records, managing office equipment, ordering office supplies, and coordinating with HR team on operational activities related to Carnegie Europe. The position will also serve as executive assistant to the Director of Carnegie Europe and assist with financial responsibilities including managing vendor bills, generating check requests, and liaising with the Finance team.

The position requires fluency in English and French/Dutch (written and spoken), one to two years of relevant experience, preferably as an administrative assistant, and proficiency with Microsoft Office. The ideal candidate will have excellent organizational and planning skills, time management skills, attention to detail, and communication skills. The selected candidate will have familiarity with email scheduling tools, the ability to multi-task and prioritize work, and ability to thrive in a fast-paced environment.
