The Bussola Institute is an independent and not-for-profit, non-governmental Research Institute established in Brussels to promote cooperation between the Gulf Countries and the European Union on political, social, economic, security and cultural issues.

Bussola is seeking an experienced Office Administrator to undertake a variety of office management and administrative tasks, supporting all of the institute’s activities.

The Office Administrator will be a skilled, organised and competent professional with excellent IT and communication skills.  The position is based in Bussola’s Brussels headquarters and will require a capacity to deal effectively with local suppliers and services and to carry out administrative duties with accuracy and speed in accordance with Belgian regulations.

The Office Administrator will report to the Director of Corporate Affairs, be a proactive team player and have strong skills in planning, prioritising, multi-tasking and organising to ensure that office operations are efficient and add maximum value to the work of the institute. 

Key responsibilities:

  • Ensuring that files and records are maintained with effective filing systems
  • Greeting and assisting visitors when they arrive at the office
  • Managing relationships with local suppliers and services
  • Dealing with invoices and payment requests and recording office expenditures
  • Performing basic bookkeeping activities and updating the accounting system
  • Monitoring office supplies inventory and placing orders
  • Assisting in contacts relationship management
  • Providing support for the institute with a range of administrative tasks
  • Assisting with all other Bussola events and activities

Requirements:

  • Proven experience as an Office Administrator/Manager or in an equivalent role
  • Fluency in English is required, French or Dutch would be desirable
  • Knowledge of MS Office, cloud-based systems and accounting software
  • Excellent communication and interpersonal skills
  • Knowledge of bookkeeping principles and office management systems and procedures
  • Working knowledge of office equipment
  • Knowledge of Belgian HR and financial requirements would be desirable
  • Qualification in business administration or relevant field is a plus
