Our members are public transport authorities and operators, decision-makers, research institutes and the public transport supply and service industry.

We are currently looking for a: Manager Corporate Office & Regional Affairs

Purpose of the role: managing the corporate office and supporting the regional department in a dynamic, international environment.

Job description

Regional Affairs

  • Daily follow up of administrative and legal matters concerning the operation of regional offices
  • Management of information on regional offices and their interactions (collection, update, diffusion)
  • Coordinating/updating calendar of all regional activities in order to optimize synergies and involvement of Brussels staff
  • Support for management of work programme

Corporate Affairs

  • Governance
  • Acting as point of reference for all aspects linked to governance of the association: by-laws, being in charge of the organization of our boards meetings (Policy and Executive boards) and General Assembly (coordinating with logistic team, agenda, follow up of action points with colleagues etc.)
  • Coordination with the President’s office (Spain)

Corporate office management

  • Acting as first point of contact: dealing with correspondence and phone calls from our members and contacts, liaising with staff, suppliers, members
  • General administrative and logistic tasks with some support – in this respect, the person will supervise an assistant in charge of the following tasks (a.o): Booking and arranging travels, transport and accommodations
  • Collating and filing expenses
  • Updating databases and filing systems when needed-Follow up of our VIP’s and honorary members
  • Typing, compiling and preparing reports, presentations and correspondence


  • Degree in Assistant management / Office management or equivalent
  • At least 5 years’ experience in a similar position
  • Fluent in English and French (written and spoken) – knowledge of other languages (German and Spanish or other ) is a real asset
  • IT literate
  • Very well-organised and able to deal with priorities
  • Proactive and able to take action
  • Discrete and diplomatic with very good communication skills and problem solving attitude
  • Eye for details, rigorous, punctual
