Job description

One of our Clients is looking for a Bilingual Legal Secretary in German-English, you will provide a wide-ranging legal secretarial and support duties to the fee earners in our client's Brussels Office.

General duties include:

  • Assigned to multiple fee earners;
  • All typing, dictation and secretarial services, correspondence and fax including lengthy and substantial document production;
  • Proofreading documents to ensure accuracy;
  • Organising and maintaining filing and systems, both paper and electronic;
  • Photocopying, scanning and document preparation;
  • Dealing professionally with telephone calls, clients and other visitors;
  • Using the firms technology, including Word, information systems, Internet research, client management (InterAction);
  • Completing complex expenses (MetaStorm), bill preparation as required and reconciling monthly statements;
  • General office administration tasks, including making arrangements and preparing itineraries for complex business travel, dinners, lunches, other meetings in and outside the office;
  • Liaising with colleagues and the firm's other offices on day to day matters;
  • Maintaining diary and schedules for fee earners;
  • Entering time on Intapp in a timely fashion and chasing when necessary;
  • Assisting with meetings, seminars and client events if required;
  • Maintaining professional and efficient dialogue with clients when fee earners are away, ensuring close attention to client care;
  • Organising and liaising with clients and other third parties for meetings and conference calls; 
  • Any other reasonable duties as required by the firm, including regular reception coverage.

Your profile

  • Native level of written and spoken German, high level of English as it is the working language
  • Have a good sense of humour;
  • Fully proficient in word processing and document production in both English and German, in particular Word with the knowledge to resolve complicated formatting issues, emailing documents, charts and tables etc; intermediate Excel and PowerPoint;
  • Accuracy;
  • Sound legal secretarial experience in a law firm is an asset;
  • Highly organised with the ability to prioritise conflicting demands;
  • Thrive under pressure;
  • Excellent communication skills at all levels;
  • Familiarity with detailed and sometimes complicated filing;
  • Sound knowledge of all administrative functions relevant to senior lawyer.
