Under the overall supervision of the Senior Regional Resources Management Officer and the direct  supervision of the Regional HR Officer, the HR Assistant will assist in human resources and recruitment activities for the Regional and Country Office of IOM in Brussels and will be part of the HR Unit providing HR support to the two offices in close cooperation with the HR Coordinators.

Core Functions / Responsibilities:

  • Provide administrative support to Human Resources Unit in maintaining personnel files for issuance of contracts, personnel action forms, promotions, separations, letters and attestations to staff;
  • Maintain HR Data from various sources into SAP PRISM HR database;
  • Assist in the preparation of the monthly payroll for Local staff;
  • Check and maintain attendance registers and HR databases (SAP PRISM Time management), leave reports, personnel establishment and other HR reports;
  • Assist in the recruitment of Local Staff and Interns, maintenance of applications inbox, sorting applications, standard replies etc.;  
  • Ensure proper and systematic filing of HR and administration files according to established standards; 
  • Assist in the induction and exit formalities of personnel and ensure the coordination with administration and office management;
  • Backstop other HR functions as and when required;
  • Perform other related duties as may be required.

Required Qualifications and Experience


  • Bachelor’s degree from an accredited academic institution, preferably in Public Administration, Human Resources, Psychology, Law or a related discipline; with a minimum of two years of relevant professional experience.


  • Completed High Degree School with at least 4 years of relevant professional experience


  • Relevant years of experience as per above in administration and/or human resources;
  • Strong administrative and organizational skills, with a high level of accuracy;
  • High level of computer literacy. Knowledge of SAP is an advantage;
  • Good oral and written communication skills in English;
  • Experience in one of the organizations of the UN Common System is a distinct advantage;
  • Experience with the Belgian National Social Security system, payroll, entitlements and benefits is a distinct advantage.


Fluency in English is required. Knowledge of French, Dutch or any other EEA language is an advantage.
