Job Description

Gellis Communications (www.gellis.com) requires senior level support for a range of finance and accounting-related tasks across the company. The Finance Manager will report directly to the company’s Director

* Requirements:

Candidates should have higher education qualifications in finance/accounting, as well as industry experience of operating at a senior level in a finance/accounting role, preferably within consultancy. Candidates should demonstrate experience of working independently as well as in a team environment. They should also bring expertise of different accounting and finance systems (with the associated technology) and be able to implement and manage these systems, according to the needs of a small office environment. Language abilities: Working level English/French.

* Operational Finances and Accounting (40%):

o Working alongside and overseeing the Office Manager in: registering invoices (in and out) and making payments; updating petty cash register; producing and managing expense reports; managing Visa statements; communications related to ONSS, bank, insurance company, social security, etc.
o Production of all company invoices (out);
o Making improvements to the above processes and systems, in line with office needs, and playing a lead role in designing and implementing such processes / systems
o Client Finances - review and produce company-wide systems to improve and regulate the collation of client budgetary information. Work with staff (mainly Project Managers) to ensure systems are ‘fit for purpose’ and readily applied. Monitor and review systems effectiveness. Prepare individual client finance reports, for internal purposes. Liaise with Project Managers and clients, as necessary, concerning finances (e.g. late payments)
o Payroll management in relation with the ‘caisse sociale’, management of contracts and calculation of salaries
o Maintain relationships with the bank and others companies like insurance companies, management of company loans
o Company Finances – work closely with the company’s chartered accountant in the preparation of income and VAT statements. Preparation and payment of tax statements, budget, profit/loss statement, balance sheet and income statement quarterly, half-year, yearly closings
o Working with and supporting staff to apply and understand systems related to client financial management. Provide support (including training) to staff to ensure effective use of client budgets, in relation to specific projects

* Strategic Finances and Accounting (25%):

o Forecasting – company costs, revenue and projected profits
o Working with firm’s chartered accountant and providing necessary feedback to Company Director
o Managing company properties – reviewing finances and advising on most effective arrangements
o Reviewing company cost and revenue base and advising on opportunities for cost savings and profit maximisation

* Liaison with Management Team (20%):

o Providing regular updates – verbal and written - of all relevant financial matters (in all categories above), in accordance with pre-planned timescales
o Keeping Company Director informed of day-to-day financial matters on an ‘as needed’ basis
o Advising on and recommending changes to company finances (costs and revenues) for effective functioning of business
o Working closely with IT Manager to implement and review the effectiveness of current systems and processes for the collection, collation and review of financial data – especially time sheet recording programmes
o Working closely with Office Manager to review effectiveness of invoicing and client management systems, and making changes to such systems as required
o Ensuring that all financial, accounting, and time-recording systems are ‘fit for purpose’ for a small office environment
o Following legal issues and reporting back to the Company Director/Management Team

* Other (15%):

o Preparing financial reports and updates (including those covering utilisation rates) for the Management Team
o Working with staff on an ‘as needed’ basis to ensure their understanding of the financial systems in place, especially in relation to client financial and project management
o Ensuring a strong financial ‘presence’ in the work of Gellis Communications
o Being fully functional with general IT Office tools (Outlook, Excel, Word, etc)
