The Finance Manager works closely with the Deputy Director and Auditors to implement policies and procedures related to finance, financial planning and analysis and to recommend improvements to financial systems. This position requires experience of EU funding management.

The successful candidate will have knowledge and experience of the following financial management processes:

Financial and Management Accounting:

  • Purchase invoice and expense claim processing
  • Grants and donations receivable processing
  • Allocation of expenses between nominal codes
  • Allocation of expenses between funds
  • Petty cash control
  • Monthly reconciliation of nominal ledger control accounts
  • Preparation and filing of VAT returns
  • Prepayments, accruals and depreciation
  • Maintenance of Fixed Asset register
  • Monthly management accounts for review by the Deputy Director
  • Statutory accounts preparation and liaison with the auditors as required
  • Audit preparation and liaison with external accountants and advisers for the company and grant audits

Financial Systems & Information

  • Follow, and update where required, the financial procedures manual
  • Provide financial information to the Board of Directors as required

Cash Management

  • Monitoring bank balances with the Deputy Director to ensure sufficient funds are available
  • Process supplier and staff payments
  • Monthly bank reconciliations of all bank and petty cash accounts

Payroll Management

  • Processing monthly payroll in QuickBooks
  • Monthly reconciliation of all payroll related control accounts
  • Maintenance of all payroll records and supporting documentation

Budgeting and Project Planning

  • Assisting Grants and Development Officer and Deputy Director in preparing budgets for funding applications and project proposals
  • Assisting with the preparation of the company budget
  • Preparing grant claims and financial reports in conjunction with Grants and Development Officer and Deputy Director
  • Submitting timely funder’s claims and reports
  • Maintaining the grants ledger including reconciliation to the nominal ledger and application of grant instalments
  • Preparing monthly and quarterly financial reports to donors as required
  • Preparing new and revised budgets according to grant agreements and guidelines
  • Ensuring funding disbursement requests are done and grant procedures are followed in a timely manner


  • Ensure all the necessary financial information for organisational and project audits is prepared
  • Liaise with auditors as needed to ensure full transparency and accountability


  • Professional accounting qualifications AAT and/or part qualified CIMA/ACA/ACCA (or qualified by experience)
  • 3 years’ experience in a financial / management accounting role, ideally with an NGO
  • Experience with EU funding management
  • Good track record of providing strong financial management and accurate information
  • Strong practical experience of QuickBooks, Excel and other computerised accounting systems


  • A good understanding of managing accounts and information needed to support forecasting and budgeting is essential.
  • Advanced user of Excel for reporting and forecasting
  • Familiarity with QuickBooks for financial and management accounting as well as payroll and PAYE matters
  • Ability to work independently, but as part of a small team, on different projects.
  • Computer literate in MS Office, with a particular focus on Excel, and email.
  • Ability to work well under pressure.
  • Ability to be administratively and secretarially self-sufficient
  • Confident, creative and self-assured.
