Job Description:

The Contract Management unit within ICF Mostra provides assistance to project managers with contract risk assessment, pricing, contract administration and contract implementation in general.

For our office in Brussels, ICF Mostra is looking for a temporary collaborator to ensure Contract Administration activities between Dec 2017 and May 2018. The Contract Administrator provides contract-related support through all phases of contract award, administration, and closeout. The role requires ability to work on multiple tasks simultaneously and the ideal candidate will be very well organised, work in a structured manner and will demonstrate high team spirit.

Key Responsibilities:

  • Track and enable authorizations for official documents and correspondence (letters, offers, contracts, amendments, procurements, reports, invoices, etc).
  • Classify and archive original documents in accordance with all required regulations.
  • Maintain detailed and organized electronic files on relevant servers.
  • Enter data and administrate databases (requests, offers, contracts, reports).
  • Liaise with other internal departments for clarifications and status / progress information.
  • Support the Contracts Officer in follow-up and maintenance activities in support to project management.
  • Lay out Word or Excel documents and PowerPoint presentations.

Professional Skills:

  • At least three years’ experience in Administration and Secretariat
  • Ability to handle multiple high priority tasks effectively.
  • Structured and very well organised. Respect deadlines.
  • Curious, accurate and demonstrate attention to detail.
  • Excellent user knowledge of Microsoft Office tools, especially Excel, Word and PowerPoint.

Personal Skills:

  • Team player, with good listening skills.
  • Proactive mind-set and ready to learn and adopt new working methods.
  • Good oral and written communication in English.
