Job Purpose:

Enhance organisation's effectiveness by assisting with planning and execution of all events including sponsorship development and execution of advertising/marketing/advocacy/project plans.

Assistance may include but is not limited to the below tasks:

  • Sponsorship development (exhibition, satellites, Synergy, BOOST, etc)
  • Planning and attend internal and external meetings and events, follow up on action points when assigned, take minutes, distribute documents, update web site…
  • Drafts external communication and invitations related to meetings and events, to Speakers, Suppliers, SC and BM Members, Associations, Participants… and follow-up: book accommodation, update the database, update the programme…
  • Assist with meetings and events site visits when necessary
  • Responsible for promoting meetings, events, projects, etc. on EAHP web site, external publications and social media
  • Maintain excellent relationships with current sponsors, sales, design and follow up.
  • Communicate with sponsors on various programmes and sponsorship opportunities.
  • Maintains customer confidence and protects operations by keeping information confidential. Develop new contacts and new business.  
  • Assist with creating and updating the promotional and mailing database. Create and distribute rollout communications for programme updates, enhancements, direct marketing programs and sales tools
  • Update information needed for Participants’ information on the web site 
  • Create InDesign files for promotional purposes,  announcements, publications,  on-site signage, and other flyers… Establish and maintain a centralized archive of presentations, marketing materials and communications that is accessible to various functional groups internally
  • Prepare presentations for meetings as needed with follow-up reports
  • Create and maintain exhibitor prospectus and partnership package documents
  • Meet with sponsors during congress and virtually, assist where needed
  • Follow up of post-event tasks: Communications

Minimum skills/qualifications:

  • Either a bachelor’s degree in business/marketing or 2 years’ experience in sales and marketing
  • Fluent English Writing/Reading/Speaking, Scheduling, In-Design, Photoshop, Illustrator, Microsoft Office advanced, advanced database skills, Organization, Time Management, Travel Logistics, Verbal Communication, must be a self-starter, proactive and have problem solving skills
  • Must be passionate about event planning and have a minimum of 2 years’ experience in event planning
  • Must demonstrate proven success with sponsorship sales
  • Other languages preferable but not mandatory
  • Must be an outgoing, sociable and a people person 
  • Must be able to work independently and as a team under pressure/deadlines
  • Excellent multi-tasking capabilities
  • Must be able to travel as needed
  • Must be able to work weekends and overtime when needed
