Job Description
Colipa is the Brussels-based trade association representing the European cosmetic industry. Our membership consists of 32 national associations and 19 international companies.
We currently have the following immediate vacancy:
ASSISTANT COMMUNICATIONS & PUBLIC AFFAIRS DEPARTMENTS
Location: Brussels
Key responsibilities
1. Secretarial Support
• Assist the 2 Directors of the Communications & Public Affairs departments with general secretarial support;
• Participation in specific meetings on area of responsibilities, follow-up, drafting minutes and action notes;
• Preparation of documents/files for committee meetings; uploading on extranet;
• Make travel arrangements and organise external meetings;
• Support in event organisation.
2. Information Management
• Media Monitoring and maintaining updates to monitoring tools;
• Background research in areas of responsibilities;
• Update of relevant documents and surveys;
• Centralise information and dispatch newsflash items on a regular basis;
• Updating and monitoring requests for Colipa websites;
• Monitoring general Colipa mailbox – dispatch/answer queries.
3. Other
• Monitor subscriptions to magazines, newspapers, etc.;
• Extend general support in secretariat;
• Liaise with Membership in the area of responsibility.
Required qualifications and skills
• Appropriate educational background (executive secretary level);
• Preferably native English speaker or mother-tongue level, excellent knowledge of French, and/or other Community language is an asset;
• Minimum of 2 years autonomous secretarial professional experience;
• Excellent proficiency in MS Office softwares, including PowerPoint
• Flexibility, organisational skills and capacity to integrate a small dynamic team.
• Ability to prioritise and to work to tight deadlines;
• Friendly, creative and assertive personality.
