JIIP is recruiting an administrative assistant to support its team.

The Joint Institute for Innovation Policy (JIIP aisbl) coordinates joint activities of its four partner organisations: TNO (The Netherlands), VTT (Finland), Joanneum Research (Austria) and Tecnalia (Spain). Operating in the area of intelligence to support policy-making, with a focus on research and innovation policy, the whole partnership involves around 170 people, with about 10 in the central office. JIIP Brussels is located near Etterbeek Gare, in one of the modern buildings of VUB.

We are looking for part-time support (20 hours per week) for financial administration and other administrative and support tasks.


Support to financial administration (primary task: around 50% of time):

  • Verifying, scanning, logging invoices in system
  • Producing monthly overviews for VAT
  • Support in producing six-monthly and annual accounts

Support in other administrative tasks (around 30% of time):

  • Support to administration of EU tendering process (documentation, CV’s, references)
  • Support to contracts management
  • Selected HR tasks, such as holiday management
  • Archiving tasks

Support to Office running (around 20% of time):

  • Purchase of supplies for the office (e.g. coffee, stationery)
  • Meeting organisation (e.g. ordering catering)
  • Liaising with buildings management company for repairs and maintenance

Expertise required

  • At least 3-year experience in similar position
  • Full professional proficiency in English and French and/or Dutch.
  • Understanding of book-keeping procedures
  • Understanding of accounting is a plus
  • Understanding of tendering procedures is a plus
  • Accuracy, results-oriented and commitment to the tasks at hand
