The European Institute of Public Administration (EIPA) aims to be Europe’s leading centre of excellence on European integration and the new challenges for public management. We provide high-quality opportunities for learning and development as well as advice and support for EU Institutions, public administrations and other organisations. EIPA has four Antennae: the European Centre for Judges and Lawyers in Luxembourg, the European Centre for the Regions in Barcelona, the European Training Centre for Social Affairs and Public Health Care in Milan and the European Centre for Public Financial Management in Warsaw. ADMINISTRATIVE ASSISTANT F/M (full-time / Barcelona)
Job Description:
The administrative assistant is responsible for supporting the practical organisation of activities, the financial administration and other internal services (reception desk, etc.).
The successful candidate is responsible for:
- giving support to the practical organisation of activities at the external level (i.e. mailing, contacts with contracting partners, participants, speakers, travel agencies, interpreters, hotels, restaurants, etc.), as well as at the internal level (contacts with scientific staff, financial services, programme organisation and with service departments of EIPA-ECR and EIPA Maastricht).
- giving support to the financial administration with regard to administrative follow-up of the activities.
- handling the reception desk, i.e. answering incoming telephone calls, attending visitors, etc.
In addition to the above mentioned tasks the Administrative Assistant also undertakes any other tasks which may occur in the framework of the division.
Requirements and Qualifications:
Completed vocational education or other relevant education and relevant occupational experience;
Adequate knowledge of the local working languages of the Institute (Spanish/Catalan, English and/or French); a language test might be part of the selection procedure;
- Has experience with financial and project management;
- Willingness to work in a multi-national and multi-cultural environment;
- Proven ability to work with the available information tools (MS Word, MS Access and MS Excel) and communication tools, such as e-mail and internet;
- Proven capacity to work in a team; - Flexibility and stress resistance;
- Nationality of one of the candidate countries or member states of the European Union / EEA.
Conditions of employment: The successful candidate will be offered an initial contract of employment until 30 November 2009.
