Administrative Assistant

Job Description
We are currently looking for an Administrative Assistant (6-months contract, renewable) to provide organisational and administrative support to the Knowledge and Membership Services Department and particularly to the Sustainable development commission
Primary responsibilities will include:
- Day-to-day management of agenda
- Planning and organisation of meetings and business trips
- Relations management, production/typing of minutes
- Handling of written correspondence and phone communication, minor translations
- Administration for the UITP Sustainable Development Commission and its working bodies
- Content and logistical support in organizing conferences/seminars/workshops (specifically Speakers management)
- Occasional billing of travel expenses/signatories to the UITP charter and follow up of payments
- Active role in provision of UITP services towards its members
Ideal candidate will have the following profile:
- Excellent knowledge of English and French. German and/or Spanish an asset.
- Good computer skills (MS office/ Internet)
- Good communication skills
- Excellent organisational and interpersonal skills
- Problem-solving attitude and sense of initiative
- Ability to work autonomously and to manage priorities
