Position Overview

The Administration Officer plays a pivotal role in ensuring the smooth and efficient operation of the company. This multifaceted role is responsible for overseeing all internal office operations and procedures including procurement, financial administration, and payroll support, while also contributing to the development, implementation and compliance of office policies, procedures and regulations.

Responsibilities

  • Managing contracts, handling invoices and any other financial or administrative formalities.
  • Liaise with vendors and services providers to ensure timely and cost-effective delivery of services.
  • Monitor costs and expenses, ensure accurate and timely reporting, preparation of financial statements, budgeting compliance.
  • Update and maintain office policies as necessary. Maintain office policies by establishing standards and procedures, measuring results against standards, and making the necessary adjustments.
  • Organise office daily operations and procedures.
  • Oversee office supplies and equipment, ensuring adequate stock levels.
  • Partner with HR external service to prepare and coordinate the payroll procedure.
  • Partner with IT external services providers for h/w and s/w support.
  • Handling memberships and subscriptions.
  • Producing reports, handling correspondence, keeping, and maintaining up-to-date records.
  • Coordinate appointments and meetings, travel arrangements, support event participation and organisation.
  • Handling all mailing, shipping, packages, and deliveries.
  • Managing the facilities – ensuring a safe, secure, and well-maintained facility that meets environmental, health, and security standards.
  • Managing the maintenance and repair of machinery and office equipment.
  • Providing administrative support on projects when needed.

Qualifications

  • Bachelor’s degree.
  • Experience of at least 2 years on a similar role with proven residence in Belgium.
  • Familiarity with the Belgian legislative procedures related to the assigned tasks.
  • Greek and English literacy and good level in French language are required. Other EU languages will be considered as an asset.
  • Knowledge of Microsoft office, and other internet apps.

  • Ability to handle diverse range of responsibilities.
  • Excellent writing and communication skills.
  • Strong organizational skills, time management, project management and independent and responsible approach towards assigned projects and tasks.
  • Be able to prioritise and work to deadlines effectively.
  • Highly developed team spirit.
